Overview

The Vice President of Maintenance Operations is responsible for partnering with PM leadership on the strategic direction of maintenance, conducting training, interviewing final maintenance supervisor candidates, assisting with due diligence efforts, managing the NSPIRE(REAC) process including preparation, training and follow-up, assisting on smaller CapEx projects as assigned, working with maintenance supervisors to solve complex maintenance issues, walking and auditing properties related to maintenance, assisting with budgeting as needed, partnering with PM for service vendors and contracts, coaching and mentoring maintenance supervisors and ensuring safety and compliance with all applicable regulatory requirements.

Qualifications

Training/Education

  • Hands on maintenance and/or construction experience; HVAC & Pool Certification
  • High school degree with some college highly preferred
  • Travel required to multiple states

 

Experience/Skills 

  • Minimum of seven years’ experience with progressively increased levels of responsibility overseeing property maintenance or construction projects.
  • Strong background in overseeing diverse types of multi-family communities – new construction, rehabs, older product, market rate and LIHTC
  • Strong track record of successful personnel management – including hiring, training and staff development
  • Strong background in contract management, writing scopes and vendor management
  • Proficiency in computer programming, spreadsheet, and database management programs. Experience in Microsoft Office, Yardi, and other Company software applications related to budgeting and overall project management.
  • Demonstrated management and supervisory skills to lead, direct, evaluate, and mentor team members, peers, and contractors.

Responsibilities

On-Site Maintenance Oversight

  • Serves as a resource for field maintenance personnel when technical questions or issues arise.
  • Researches and makes recommendations on new products, services or operational efficiencies that will save properties time and/or dollars.
  • Provides input on energy conservation initiatives at each property.
  • Assists VP’s, RPM’s and PM’s with interviewing final candidates for Maintenance Supervisor positions as requested.
  • Ensures that all properties are in compliance with various safety and regulatory requirements including EPA, OSHA, and local and state health and safety ordinances as well as Buckingham standards
  • Identifies and implements multi-site purchasing initiatives or bulk contracts targeted to provide portfolio savings or efficiencies.
  • Assists in the budget process/review.
  • Reviews and recommends maintenance policies and procedures for maintenance manual.
  • Manages the NSPIRE (REAC) inspections process including preparation, training, and follow up
  • As part of annual Property Inspection, should oversee all Maintenance Administration issues including the following:
    • Preventive Maintenance follow up to ensure timely completion
    • Capital Inventory Updating/Log Control
    • Shop Organization
    • Key Controls/Management
    • Market-Ready Apt Quality Control
    • Marketing Curb Appeal/Marketing Path Awareness
    • Customer Service Expectations w/Maintenance
    • Professionalism/Appearance/Behavior

  

New Business Development/Acquisitions/New Construction

  • Coordinates and assists with the physical aspects of all due diligence initiatives on new properties.
  • Leads/oversees new development unit walks and trains the Supervisor/Floating Maintenance Techs how to perform unit walks and what is required in accepting a unit. Supervisors and/or Floating Maintenance Techs will be actually performing the majority of unit walks and acceptance of units.
  • Accepts large building systems on new developments (Fire Suppression, Elevators, HVAC, Booster Pumps as examples)

 

Training and Development

  • Trains Maintenance Supervisors on how to interview, select and review appropriate vendors
  • Partners with Director of Training to lead, develop and execute Maintenance Technician and Maintenance Supervisor development programs (MT – MS)
  • Manages all reporting / tracking of maintenance metrics
  • Participates in maintenance onboarding program, process and procedures
  • Coach and mentor Maintenance Supervisors and Technicians to grow their technical skills, leadership skills, leadership abilities and level of professionalism
  • Schedule and track all safety training for the property management sites
  • Partners with the Director of Training to develop the annual maintenance training calendar, courses, content ideas, timing and delivery methods
  • Visits sites as needed and requested to work with field personnel and follow-up on training techniques and initiatives.
